Annual Reviews has been publishing scholarly articles since 1932, and with that comes decades worth of data. With multiple departments using and inputting data about organizational customers, data coming from outside sources, and new accounts being created without a consistent naming or identification system in place, many duplicates were found in their business systems. For example, Customer Service would set up an institution using the full name in their primary system, while Sales would set up the same institution using an abbreviation in their primary system, making it difficult to merge the data to enable the systems to talk to each other properly.

In addition, because institutions were ordering through different individual departments, it was difficult for Annual Reviews to accurately identify parent-child relationships of the organizational customers and find the correct top level of an organization. To work around this, members of Annual Reviews’ Finance and Sales teams developed manual processes to maintain account names and relationships. This was especially challenging for customers with multiple accounts. Orders coming through multiple departments from an institution also made it more difficult to set up and manage online access to journals. In addition, Annual Reviews wanted to tie together author and subscriber data and given the lack of clarity in the relationship of departments to the top-level institution, manual workarounds were necessary to do so.

The Chiesi library serves the research and development group but has evolved over time to satisfy the information needs of most other departments. Known for their work in developing therapies for life-threatening diseases, Chiesi is a global pharmaceutical company with more than 6500 employees across 30 affiliates worldwide. Cinzia Bussolati, senior librarian, global library head, has been part of the information management team for over 20 years. From paper to digital, she has seen the evolution of corporate libraries during her tenure.

The library team noticed knowledge gaps across the organization when it came to copyright. A cross-functional team started to meet with departments from R&D to marketing to understand how they used copyrighted content. From there, the team tailored copyright education sessions that emphasized what each department needed to do their jobs in a more compliant way.

Today, Chiesi users know that by using RightFind they now have a one-stop-shop to access subscriptions, retrieve licensed or purchased content, or check rights efficiently, in one seamless workflow. Users can take full advantage of the subscribed journals, books, and other content that have been made available to them whether they are in the office, on the road, or at home.

Portugal had two national CV platforms, and multiple systems performing one core function: research output management. Most systems were unable to effectively exchange data, and they were not aligned with international data standards. To improve the infrastructure for researchers, institutions and itself, FCT identified that a new technical and interoperability framework was needed to provide researchers a one-stop-shop of resources pertaining to their research, foster collaboration between individuals and across organizations and support the development of consistent reporting and impact assessment.

The key to providing the Portuguese government with a reliable and robust way to manage the nation’s research activity lay in restructuring the data architecture and systems and adopting appropriate standards and persistent identifiers for all entities represented. This led to the development of PTCRIS (Portuguese Current Research Information System) – a system of systems or “SoS,” providing an infrastructure to transform the many information systems supporting scientific activity into a single, coherent, and integrated ecosystem, designed to ultimately be interoperable with the Grant Management Systems.

The framework consolidates functions and is built upon standards to ensure its long-term functionality. PTCRIS required unique, persistent, and globally-accepted identifiers for both researchers and organizations. ORCID and Ciência ID, the Portuguese national researcher identifier, were selected for individuals. Also, DOIs will soon be assigned for grants.

Historically, the association’s organizational customer, member, and prospect data was held in two different systems: a Customer Relationship Management (CRM) system and a separate Fulfillment and Invoicing system. Orders and activities, such as memberships, contracts, and publication holdings, were held at many different levels within an organization, from, the top-level, e.g., a university, down to the various departments and affiliates within the university. This complexity meant that the association had difficulty determining relationships common to both systems and prevented it from having a much-needed holistic view of its customers and prospects.

To address this challenge, the APA set out on a project to bring its systems together so that all data would be connected and easily accessible for internal users — and to create a centralized data entry point so that accounts would not be duplicated moving forward.

Daiichi Sankyo set out with CCC’s professional services consultants to create a custom solution known internally to their end users as ORION. The state-of-the-art integrated digital library ecosystem utilizes CCC SaaS software products in the RightFind Suite, including RightFind Navigate and RightFind Enterprise, to drive the integration of content resources, including public, licensed, subscribed, and proprietary internal assets.

Prior to ORION, users toggled between five disparate systems to find all the scientific content relevant to their work. Today, Daiichi Sankyo users can now search across more than 55 scientific databases at the same time, including STM article citations, publisher subscriptions, eBook chapters, patents, clinical trials, news, competitive intelligence, posters, and reports. Users span the organization’s global workforce – including departments like medical affairs, drug safety, competitive intelligence, medical writing, and R&D.

When an employee has a need for scientific information – be it a piece of literature, a preprint, a clinical trial, or a patent – they search the ORION portal. Through the platform they can seamlessly determine their access and usage, purchased content, store information into shared libraries, and collaborate with colleagues across departments and geographic borders.

Bringing together so many information sources could increase the potential of information overload, but personalization and semantic search features work to get the most relevant content to each individual. Users can explicitly select their favorite data sources to increase the relevancy of their search results. Additionally, ORION employs implicit personalization through machine learning, so users are delivered personalized content recommendations using CCC’s proprietary algorithm.

Semantic search features allow users to identify relevant documents with an expanded search that incorporates synonyms to find relevant scientific concepts faster and accelerate discoveries. With semantic enrichment, ontologies are built into both search and reading experiences so users can find relevant scientific concepts faster. When searching, users can identify relevant documents with automatic synonym expansion and homonym resolution. Once an article is found, the user can do on-the-fly document enrichment to quickly navigate to relevant concepts within full-text article.

On the Horizon – Expansion

Daiichi will continue to expand their CCC solution to meet the organization’s unique workflow and data needs. For next steps, in addition to scaling ORION across the global departments (customizing settings and data sources for the unique needs of specific functional areas and geographic regions), expanding AI and data capabilities, and increasing the third-party data connectors users can search across are top priorities.

“We’ve increased our visibility and value proposition, impacted the bottom line and reduced risk, and ultimately made work much easier for employees,” said Kimberly.

End users can feel that impact. Some of the ways users have described their experience with ORION: “easier and quicker,” “well-organized,” “centralized,” “essential” and “an absolute must.”

A key learning from this outreach effort was that their customers needed to have greater insight into global and local trends in research output. They also learned that their customers wanted to better understand their collaborations and more quickly and easily identify candidates for their recruiting efforts. In addition, they discovered their university customers wanted to know what they had published over the years, and in which areas as well as how they ranked in comparison with other universities in terms of output by subject.

Based on this input and feedback, the Inspec team started to develop a visually intuitive application that would show organizational output, author collaborations and global, regional, and national trends in engineering. They soon discovered that a key requirement of creating such a tool was the accurate and consistent presentation of organizations and their affiliations. However, the IET also realized that much of the abstract and affiliation data feeding into Inspec was unstructured and messy.

Stockholm University Library sought a more cost-effective, efficient way to obtain some of its single-title journal content not covered by existing subscriptions. This led to the Library adopting Get It Now, an innovative article delivery service from CCC.

In addition to the efficiency it brings, Get It Now enhanced Stockholm University Library’s long-standing patron-driven acquisition policy. By opting to utilize the patron-driven unmediated version of Get It Now, if a desired journal article is not available through the Library’s existing subscriptions, Get It Now surfaces through the Library’s link resolver so the patron can request the article.

For the academic year of 2021-2022, Get It Now delivered approximately 900 article PDFs to Stockholm University Library patrons, and most articles were delivered in less than 15 minutes. Plus, Get It Now’s built-in safeguards, customizable for each institution, ensure article requests adhere to the Library’s policies while staying within its content budget.
